Cubed Analytics Limited ("we", "us", "our"), trading as CareerSwerve, is committed to protecting your personal data. This privacy policy explains how we collect, use, store, and share your information when you visit careerswerve.io, enrol in our training programmes, or otherwise interact with our services.

We are the data controller for the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.


1. Information We Collect

We may collect the following categories of personal data:

Information you provide directly — your name, email address, phone number, billing address, payment details (processed securely via Stripe and PayPal — we do not store full card numbers), company name and job title (for corporate bookings), course enrolment and progress data, assessment submissions and project work, career quiz responses, communication preferences, and any correspondence you send us via email or contact forms.

Information collected automatically — your IP address, browser type and version, device information, operating system, pages visited and time spent on careerswerve.io, referral source (e.g. LinkedIn, search engines, direct), cookies and similar technologies (see our Cookie Policy for full details), and session recordings or heatmaps where consent has been given.

Information from third parties — payment confirmation from Stripe or PayPal, data from social media platforms if you interact with our ads or content, and information provided by your employer if you are enrolled through a corporate booking.


2. How We Use Your Information

We process your personal data for the following purposes and under the corresponding lawful bases:

Performance of a contract — to create and manage your learner account, to deliver the training programmes you have enrolled in (SQL, Power BI, Python, Databricks), to process payments and issue invoices, to provide access to live sessions via Zoom or Microsoft Teams, to issue certificates of completion, and to handle refund requests in accordance with our refund policy.

Legitimate interests — to improve our platform, course content, and learner experience, to analyse usage trends and platform performance, to send you service-related communications (e.g. session reminders, programme updates, project deadline notifications), to detect and prevent fraud or security threats, and to administer corporate training accounts.

Consent — to send you marketing communications about new courses, programmes, and promotions, to set non-essential cookies (performance, functional, and targeting), and to process career quiz data for personalised career path recommendations.

Legal obligation — to comply with tax, accounting, and regulatory requirements, and to respond to lawful requests from authorities.

You can withdraw consent at any time without affecting the lawfulness of processing carried out before withdrawal.


3. Marketing Communications

We use Brevo to send marketing emails about upcoming courses, events (such as free taster sessions), early-bird offers, and platform updates. We will only send marketing communications where you have given explicit opt-in consent.

Every marketing email includes an unsubscribe link. You can also update your preferences or opt out entirely by contacting us at customerservice@careerswerve.io. Service-related emails (such as enrolment confirmations, session schedules, and project deadline reminders) are not marketing and will continue to be sent as part of our contractual obligations to you.


4. Who We Share Your Data With

We do not sell your personal data. We may share your data with the following categories of recipients, only to the extent necessary for the purposes described in this policy:

Payment processors — Stripe and PayPal, to process your payments securely.

Email service providers — Azure Communication Services for transactional emails (enrolment confirmations, password resets, session reminders) and Brevo for marketing emails.

Cloud hosting and infrastructure — Microsoft Azure (UK South region) for hosting our platform, database, and file storage.

Video conferencing — Zoom and Microsoft Teams for delivering live training sessions.

Analytics providers — where you have consented to performance cookies.

Advertising and social media platforms — where you have consented to targeting cookies (e.g. Meta, LinkedIn, Google).

Corporate clients — if your employer has enrolled you, we may share your enrolment status, attendance, and completion data with them as part of the corporate training agreement.

Legal and regulatory bodies — where required by law or to protect our legal rights.

All third-party processors are contractually required to handle your data in accordance with UK GDPR.


5. International Data Transfers

Our primary infrastructure is hosted on Microsoft Azure in the UK South region. Where data is transferred outside the UK (for example, through third-party services such as Stripe, Brevo, Zoom, or social media platforms), we ensure appropriate safeguards are in place, including UK International Data Transfer Agreements, Standard Contractual Clauses, or reliance on an adequacy decision where applicable.


6. Data Retention

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected:

Active learner accounts — your data is retained for the duration of your account and for a reasonable period afterwards to allow you to return and access your certificates and course history.

Financial records — payment and invoice data is retained for a minimum of six years to comply with HMRC requirements.

Marketing data — retained until you withdraw consent or unsubscribe, after which your data is removed from our marketing lists promptly.

Anonymised analytics data — may be retained indefinitely as it no longer constitutes personal data.

When personal data is no longer required, it is securely deleted or anonymised.


7. Data Security

We take appropriate technical and organisational measures to protect your personal data, including encryption of data in transit and at rest, secure credential management through Azure Key Vault, role-based access controls on our platform and admin systems, regular review of security practices, and secure payment processing through PCI-compliant providers (Stripe and PayPal).

While we take every reasonable precaution, no method of transmission or storage is completely secure. If you become aware of any security concern, please contact us immediately.


8. Your Rights

Under UK GDPR, you have the following rights in relation to your personal data:

Right of access — you can request a copy of the personal data we hold about you.

Right to rectification — you can ask us to correct inaccurate or incomplete data.

Right to erasure — you can ask us to delete your personal data where there is no compelling reason to continue processing it.

Right to restrict processing — you can ask us to suspend the processing of your data in certain circumstances.

Right to data portability — you can request your data in a structured, commonly used, machine-readable format.

Right to object — you can object to processing based on legitimate interests or to direct marketing at any time.

Rights related to automated decision-making — you have the right not to be subject to decisions based solely on automated processing that produce legal or similarly significant effects. Our career quiz provides recommendations only and does not make automated decisions with legal effect.

9. Children's Privacy

Our core training programmes are designed for adults and are not directed at children under 16. The planned CareerSwerve Kids sub-brand will have a separate, age-appropriate privacy policy and will require verifiable parental consent before collecting any personal data from children, in line with UK GDPR requirements for information society services offered to children.


10. Changes to This Policy

We may update this privacy policy from time to time to reflect changes in our practices, technology, or legal requirements. Any significant changes will be communicated via our website or by email. We encourage you to review this page periodically. The "last updated" date at the top of this policy indicates when it was most recently revised.
